About Linchpin
What is Linchpin?
Linchpin is distribution management software for FMCG distributors, wholesalers and trading businesses in Nepal. Purchase, stock, sales, collections and accounts run on one set of numbers, so a bill entered once reaches the shelf, the ledgers and the VAT register.
Who is it for?
Businesses that buy from companies or their dealers and sell on to shops: FMCG distributors, sub-distributors and wholesalers, with one godown or several, a counter, salesmen on beats and an accountant.
What can I use today?
Purchase and stock: vendor bills with discounts, excise and VAT, selling rates from your margin, goods received against bills, and batch-wise stock with expiry dates in several godowns, plus products, taxes, vendors, employees and roles.
Sales, collections and accounts are being built on the same numbers. Their pages, Sales, Collections and Accounts, show how they will work.
Do I need to install anything?
No. Linchpin runs in a web browser on a computer, tablet or phone. Your company gets its own web address to sign in at. The salesman app for phones is coming with sales.
Can other distributors see my numbers?
No. Each distributor has its own workspace, and the database itself keeps every company’s records apart, not only the screens. Inside your company, each employee sees and changes only what their role allows.
Purchase and stock
Can Linchpin handle excise and other taxes besides VAT?
Yes. You can add any tax, such as excise or a luxury tax, as a percentage, a rupee amount per unit or a rupee amount on the line, with rates by date. Those taxes become part of your cost, and VAT is charged after them, once for the whole bill.
How is the selling rate worked out?
From the true cost of one piece, after discounts and every tax except VAT, plus your margin as a percentage or a rupee amount. The rate is exactly that margin and is never rounded away; rounding happens once, on the invoice total. It is checked against the MRP with VAT before the bill is filed.
What if my bill does not match the vendor’s printed bill?
Type the vendor’s printed totals beside the lines. Linchpin compares them with its own figures and shows any difference before the bill is filed, so a wrong rate is caught at the desk.
Can I buy in cartons and sell in pieces?
Yes. Each product has its own units, such as carton, bundle and piece, and how many of one make the next. Bills, stock and prices work in any of them.
Does Linchpin track batches and expiry dates?
Yes. Every delivery is counted in as a batch with its manufacturing and expiry dates and the cost it came in at, and the stock list flags what is expiring, low or out.
What happens when only part of a delivery arrives?
Count in what came. The bill stays open as part received, showing what is still to come, until the rest is counted in.
Is Linchpin suitable for distributors with several godowns?
Yes. Stock is held per godown and batch, and each bill says which godown its goods go to.
Sales and collections
Will there be an app for salesmen?
Yes, it is coming with sales. Salesmen will take orders at the shop on their phone, against their beat of shops, with rates, schemes and free goods worked out as they order, and collect payments on the same visit.
Will Linchpin track post-dated cheques?
Yes, with collections. A cheque is followed from the salesman who took it, through the office, to the bank, until it clears or bounces. A bounced cheque re-opens the bill it paid.
Can I keep my vendors’ Fonepay QR codes?
Yes, today. Each vendor can have payment QR codes, such as Fonepay or a wallet, kept apart from their bank accounts and shown full size to scan from the screen.
Accounts, VAT and Nepal
Does Linchpin keep a VAT register for Nepal?
Every bill already keeps its taxable value and VAT, with VAT worked out last on the value plus every other tax.
The VAT register, in the order the IRD’s sales and purchase books ask for, is coming with accounts and will be built from those bills and invoices.
Does Linchpin use Bikram Sambat dates?
Yes. Dates are shown in Bikram Sambat beside the English date, documents are numbered by the Nepali fiscal year, such as 2083/84, and amounts use lakh and crore grouping. More on what is built for Nepal.
Can a filed bill be changed?
A filed record is never quietly rewritten. Linchpin remembers who entered, edited or cancelled it and when, and the ledgers are corrected with entries of their own, not by erasing.
